In order to comply with the obligation of public tenders for technical and infrastructural FM services, various documents, some of which are very extensive, are required as well as compliance with certain process steps and time frames. Afterwards, a qualified decision must be made and, if necessary, new service providers must be trained and controlled. The Keßler Group accompanies your company/institution through the entire award phase, including a recommendation for the award of contract and the handover to the new service provider (start-up support with reporting, auditing and/or contract controlling).

Recommended steps of a successful tender management

  • Preparatory: Inventory of areas, inventory and TGA incl. condition assessment
  • Preparation or optimization of your tender documents
  • Design of the bill of quantities incl. plausibility check
  • Determination of the award strategy based on your economic objectives and award guidelines
  • Creation of a bidder list & contacting potential bidders
  • Coordination of the bidding documents and organisation of on-site inspections
  • Accompanying the award of contracts with, among other things, coordination of bidder questions
  • Technical & economic evaluation of the submitted concepts
  • Joint conduct of the bidder discussions with final award recommendation
  • Compilation of order specifications and contract documents for the contractor

In addition, we offer you our start-up support and advice: On request, we will support you in the first year of your new FM contract with any necessary transfers between old and new service providers, reporting and contract controlling, as well as consulting on other topics such as operator responsibility or process optimisation.
